    1. Definitions

    • "Homeowners" means individuals who use the Platform to find and contact contractors.
    • "Contractors" means businesses and individuals listed in our directory.
    • "Team Members" means users invited to manage a contractor's business profile under defined role-based permissions.
    • "Personal Information" means information that identifies or can be used to identify an individual.
    • "We," "Us," or "Platform" means Hawaii Contractor Pro and its affiliates.

    2. Information We Collect

    We collect information in several ways:

    Information You Provide

    • Account registration information (name, email, phone number)
    • User type selection (homeowner or contractor)
    • Project details (descriptions, location, budget, timeline)
    • Project photos (up to 6 images per project)
    • Quote requests and messages to contractors
    • Reviews and ratings you submit
    • Profile information for contractors (business details, service areas, photos)
    • Team member invitations and role assignments
    • Notification contact email addresses
    • Communications with our support team
    • Interactions with AI features (Aloha Helper conversations)

    Information Collected Automatically

    • Device information and browser type
    • IP address and approximate location
    • Platform usage data and analytics
    • Pages visited and features used
    • Log files and error reports
    • Push notification subscription data (device tokens)
    • Session identifiers for analytics

    Public Records Data

    • DCCA contractor licensing information (public records)
    • Better Business Bureau ratings (public data)
    • Google Reviews and ratings (public data)

    3. How We Use Your Information

    We use the information we collect to:

    • Provide, maintain, and improve the Platform
    • Create and manage your account
    • Connect homeowners with contractors through leads
    • Facilitate project creation, quote requests, and messaging
    • Display contractor verification status (DCCA, BBB)
    • Process reviews and ratings
    • Manage lead credit allocations and transactions
    • Send service notifications via email and push notifications
    • Deliver AI-powered recommendations and project guidance
    • Process contractor referrals and credit awards
    • Manage team member access and permissions
    • Respond to inquiries and provide support
    • Monitor and analyze usage trends
    • Detect and prevent fraud or abuse
    • Comply with legal obligations

    4. Photo Uploads & Storage

    Project Photo Handling

    Homeowners may upload up to six (6) photographs per project. Photos are stored securely in our cloud infrastructure and made accessible to contractors who receive the associated lead.

    • High-resolution uploads: Photos are accepted at full resolution from mobile devices (iOS and Android). Client-side compression may be applied to ensure successful uploads while preserving visual quality.
    • Automatic optimization: After fourteen (14) days, project photos may be automatically compressed to reduce storage costs. This process preserves visual quality sufficient for project evaluation but the original full-resolution files are not retained.
    • Access control: Project photos are only visible to contractors who have claimed the lead using lead credits or received a direct quote request from the homeowner.
    • Deletion: Photos are deleted when the associated project is deleted or the homeowner's account is removed.

    5. Contact Privacy & Lead Gating

    How We Protect Homeowner Contact Information

    Homeowner contact details (including phone numbers) are not disclosed to contractors until a lead is claimed using lead credits or a quote is accepted. This ensures homeowner privacy and that contractors demonstrate genuine interest before gaining access to personal contact information. We encourage all initial communication to occur through the Platform's in-app messaging system.

    6. AI Features & Data

    Our Platform includes AI-powered features such as the Aloha Helper chat assistant and intelligent contractor matching. When you use these features:

    • Your conversations and inputs may be processed by third-party AI providers to generate responses
    • Interaction data may be logged and analyzed to improve the quality of AI recommendations
    • AI-generated content is not stored as part of your permanent account data unless you take action on a recommendation (e.g., submitting a quote request)
    • We do not use your AI interactions to train custom AI models

    7. Contractor Profile Information

    Public Directory Listings

    Contractor profiles are publicly visible to help homeowners find qualified professionals. This includes:

    • Business name and contact information
    • License status and type from DCCA
    • Service categories and islands served
    • Reviews and ratings from homeowners
    • BBB accreditation and rating
    • Google Reviews and ratings

    Contractors who claim their profiles can manage certain information, invite team members, create department sub-profiles, and opt into premium features.

    8. Push Notifications

    If you opt in to push notifications, we collect and store:

    • Your push notification subscription endpoint (a URL generated by your browser)
    • Encryption keys required to send notifications to your device
    • Your notification preferences (types of notifications you wish to receive)

    This data is used solely to deliver notifications you have opted into, such as new lead alerts, messages, and platform updates. You can unsubscribe from push notifications at any time through your account settings or browser settings. Upon unsubscription, your push subscription data is deleted.

    9. Team Member & Business Account Data

    When a contractor invites team members to manage their business profile:

    • The invited team member's email address is stored to facilitate the invitation
    • Role assignments (Owner, Manager, Staff, Viewer) are recorded to enforce access controls
    • Team member activity within the business account may be logged for audit purposes
    • If a team member is removed, their association with the business account is revoked but their personal user account is not deleted

    10. Notification Contacts

    Contractors may add additional email addresses to receive lead notifications. These addresses are stored in our system and used solely for delivering lead alerts and platform notifications. Each address requires email verification before activation. Contractors can remove notification contacts at any time through their account settings.

    11. Information Sharing and Disclosure

    We do not sell your personal information. We may share information in the following circumstances:

    With Other Users

    • Project details and photos are shared with contractors who claim a lead or receive a quote request
    • Homeowner contact information is shared only after a lead is claimed or quote is accepted
    • Quote requests and messages are shared between homeowners and contractors
    • Reviews you submit are publicly displayed on contractor profiles

    Third-Party Service Providers

    We use services to operate the Platform:

    • Cloud Infrastructure: Secure data storage and hosting
    • AI Providers: Processing for Aloha Helper and contractor matching features
    • Analytics: Usage analysis to improve the Platform
    • Email Services: Transactional notifications and lead alerts
    • Push Notification Services: Browser push notification delivery

    Legal Requirements

    • When required by law, subpoena, or legal process
    • To protect our rights, property, or safety
    • In connection with a merger, acquisition, or sale of assets (with notice)
    • With your explicit consent

    12. Cookies and Tracking Technologies

    We use cookies and similar technologies to:

    • Maintain your session and authentication
    • Remember your preferences (including cookie consent and notification settings)
    • Analyze Platform usage and performance
    • Provide security features

    You can configure your browser to refuse cookies, but some Platform features may not function properly. You may manage your cookie preferences through our cookie consent banner.

    13. Data Security

    We implement appropriate technical and organizational measures to protect your information, including:

    • Encryption of data in transit (HTTPS)
    • Secure authentication and access controls
    • Row-level security policies on all database tables
    • Role-based access controls for team member accounts
    • Regular security monitoring
    • Limited employee access to personal data

    However, no internet transmission is completely secure, and we cannot guarantee absolute security.

    14. Data Retention

    We retain information for the following periods:

    • Account information: Duration of account plus 2 years
    • Project postings: 1 year after completion or expiration
    • Project photos: Compressed after 14 days; deleted with project or account deletion
    • Messages: 2 years
    • Reviews: Indefinitely (may be anonymized upon account deletion)
    • Lead credit transactions: Duration of account plus 2 years for audit purposes
    • AI chat interactions: 90 days
    • Push notification subscriptions: Until unsubscribed or account deletion
    • Analytics data: Aggregated and anonymized
    • Notification logs: Archived after 30 days; permanently deleted after 1 year

    Upon account deletion request, we will remove or anonymize your data within 30 days, except where retention is required by law.

    15. Your Rights

    Depending on your location, you may have the right to:

    • Access and receive a copy of your personal information
    • Correct inaccurate or incomplete information
    • Request deletion of your personal information
    • Object to or restrict certain processing
    • Data portability (receive your data in a structured format)
    • Opt-out of marketing communications
    • Opt-out of push notifications
    • Withdraw consent where processing is based on consent

    The Platform is not intended for children under 18 years of age. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

    The Platform may contain links to third-party websites (e.g., DCCA license verification, BBB profiles, Google Reviews). We are not responsible for the privacy practices of these external sites. We encourage you to review their privacy policies.

    We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on the Platform and updating the "Last Updated" date. Your continued use of the Platform after changes constitutes acceptance of the revised policy.
